Sherpherd Facilities Management believes that technology and innovation are key aspects to increasing efficiency and resilience, enhance service provision and improve customer experience.

Examples of our solutions:

• Helpdesk management

• Asset management

• Planned preventative maintenance systems

• Time and attendance management

• Computer aided facilities management

• E-commercie – coda financials and coda e-procurement

• Network infrastructure

• Business continuity and disaster recovery

Our solutions are tailored to meet customers’ needs, and can be bespoke to either a single property or to the requirements of a nationwide portfolio using both intranet and extranet systems.  These systems enable an end user to raise a web request online or book a meeting room.  By listening and understanding our customers’ needs and culture, our solutions are designed to meet each customer’s unique requirements.

In conjunction with our FM technology offering, we can also provide handheld PDAs that link to the system enabling realtime exchange of information between the helpdesk and our on-site and mobile teams.

For multi-site contracts we utilise GPRS tracking equipment to locate our mobile engineers.  This enables us to use our resources efficiently when scheduling our planned maintenance and responding to reactive maintenance call logs.

In addition, to ensure the safety of our lone-workers, Reliance uses the Solo Protect system that instantly raises the alarm after an accident or incident.

We ensure that all the systems we select are easy to deploy, reliable and have management information that is both visible and intuitive.

CAFM – QFM from Service Works

QFM from Service Works is Reliance’s choice of application for Computer Aided Facilities Management.  QFM comprises of individual management modules that can be implemented individually or as a fully integrated system. The modules are:

• Facilities Management

–  Asset Management

– Reactive / Planned Work Management

– Resource Management

– Mobile Technology – PDA’s

– SLAs / KPIs

– Auditing – Cleaning, Health and Safety etc

– Performance Monitoring

– Bespoke Reporting

• Room Booking / Visitor Management

• Property Management

All modules can be managed via a dedicated Help Desk (on-site or centralised within our control centre) with a live web interface available to customers to enable requests to be logged or tracked via a web browser from any PC with an internet connection.

Time and Attendance – Time Gate

Time Gate is a time and attendance monitoring system utilised to enhance payroll procedures for site based hourly paid employees.  It reduces the workload and increases efficiency for administration staff calculating timesheets and managing rosters.  It enables facilities managers to improve site management by managing absence and providing visibility of the team’s skills and qualifications.  It provides accurate information relating to the actual to budgeted hours worked within a contract.

E-Commerce – Coda Financials / Coda e-Procurement

Reliance Facilities Management has proven experience with e-business technologies through the integration of a procurement system into our corporate financial system (CODA).  CODA e-Procurement integrates with CODA-Financials to provide a complete end-to-end e-commerce solution enabling direct real-time exchange of purchase orders and invoices.  This enables close monitoring of expenditure against budgets and significantly cuts operational costs by reducing paper flow and speeding-up the procurement process.

Network Infrastructure

The network Infrastructure is critical in providing resilient fm services and systems to a customer.  Reliance Facilities Management has invested in the development of our internal network infrastructure to deliver performance and resilience based upon virtual server environments and dedicated SAN storage technologies to provide performance management and effective failover procedures.

For business critical systems for managing customer contracts such as CAFM, Reliance Facilities Management has partnered with dedicated hosting organisations (ASP’s) that can deliver resilience and data security to BS7799 and guarantee SLA’s to ensure that customer expectations are met.

Business Continuity and Disaster Recovery

To implement and manage a disaster recovery (emergency) plan, Reliance Facilities Management produces a detailed document that identifies critical services, and provides procedures for recovery in the event of disruption to business operations.  This will be based on a standard template from our quality management system.

The plan would identify individuals who are directly responsible for emergency response and critical support services.  The plan would provide a structure for co-ordinating and deploying essential resources.

Technology is a critical component in the development of an effective disaster recovery plan as through careful management of network infrastructures and continuous improvement the risk of loss of data or critical systems can be greatly reduced.
